Summary


The Expeditor is responsible for the interface between suppliers and project team to ensure the following:

  • materials & equipment are on schedule, complete when delivered, comply with the technical specs, and that quality & quantities are in conformance with the PO Terms & Conditions.
  • Expediting efforts commence at the issuance of a LOA, PO, Contract or any other instrument of transmission of award by Company to suppliers/contractors.
  • The Expeditor shall monitor and report supplier performance/progress to ensure timely delivery and take the necessary steps andinitiatives to avoid slippage in the delivery of materials and equipment.
  • He/she shall investigate potential slippage and expedite the supplier to achieve project milestones and timely delivery of Goods/Services.
  • The Expeditor shall raise the recovery and mitigation discussion with the supplier and project team when project deliveries are in jeopardy of slipping past scheduled delivery dates.

Key Duties & Responsibilities:

  • Maintain & distribute expediting report to the Project & site team, the QA/QC team, and the Project Procurement Manager as per project procedures.
  • Participate in project meetings to review the status of packages and documents with the project team.
  • Coordinate closely & work in tandem with the QA/QC dept. to ensure that all documentation is available for Inspection & final acceptance (esp. the ITP).
  • Notify Engineer and QA/QC should there be quality issues regarding the quality integrity that may affect the delivery schedule.
  • Assist with scheduling shop/site visits to ensure compliance with data’s submittal, test reports, receipt of major materials, and shipment promise delivery dates.
  • Understand and coordinate with Project Controls/Finance regarding the impact of delivery of the specific materials or equipment to the Project Schedule.
  • Assist supplier/fabricator, when necessary, to expedite materials from sub-supplier to prevent potential delay of the package.
  • Assist with site/factory visits in consultation with Engineer, QA/QC, and Project Procurement Manager.
  • Liaise with Freight Forwarder to provide advance notice of impending shipments and to trace major shipments from the supplier to the job site.
  • Ensure timely receipt of goods at export packing location and/or Freight Forwarder and confirm all items and quantities are checked against the supplier’s packing list and the PO.
  • Ensure that any special lifting and storage requirements are noted and communicated to the appropriate parties at the Yard (i.e. Freight Forwarder, Cargo Handler, Carrier, Materials Coordinator).
  • Report any over, short, and damage (OS&D) materials and/or equipment that are noted by the Freight Forwarder. (The OS&D information shall be provided to the Buyer for resolution and Expeditor for project reporting on the Expediting Log).
  • Track closure of OS&D’s and receiving and inform Expeditor for updating status on the expediting report.
  • Assist with PO Close-out and supplier performance evaluations.
  • Participate in audits and review processes as necessary.
  • Other ah-hoc tasks as requested by the Line Manager.

Qualifications:

Bachelor’s degree from an accredited institution


Skills & Experiences:

  • At least 5 years experience in EPC projects / Marine / Oil & Gas industry.
  • Can be counted on to take personal responsibility in challenging situations and be willing to engage in disputes to settle them equitably.
  • Ability to self-manage and work to tight time scales with attention to detail.
  • Accuracy and attention to detail.

Work location: Central (CBD)
